What Google data we access

• Free/busy status on your Google Calendar, to check appointment availability.
• Events created by Perch only, to create and cancel booking appointments on your behalf.

What we cannot access

• Your existing calendar events or their details.
• Any other Google account data (contacts, email, files, etc.).

Why we need this access

Perch uses calendar access solely to check your availability and to create or cancel appointments that patients book through the platform.

Patient data we collect

• Full name
• Email address
• Phone number (from WhatsApp)

This information is collected during the booking process so practices can identify and communicate with their patients.

How we store your data

All data is stored in a secured database. We do not sell or share personal information with third parties.

Data retention

Patient and practice data is kept for the duration of the practice's active subscription. Practices may request deletion of their data at any time.

Revoking access

You can revoke Perch's access to your Google Calendar at any time through your Google Account settings.

Data Protection

Your data is protected by the following measures:

• All data is transmitted using HTTPS encryption.
• Calendar access tokens are stored securely with restricted file permissions, accessible only to authorised systems.
• Patient information (name, email, phone number) is stored in a secured database with access limited to the booking system only.
• Each practice's calendar credentials are isolated from other practices — one practice cannot access another's calendar.
• We do not sell, share, or provide your data to any third parties.
• You can revoke calendar access at any time through your Google Account settings, which immediately invalidates any stored credentials.

Data Retention and Deletion

Calendar access tokens are retained only while the practice maintains an active subscription. When a practice disconnects or cancels, all stored tokens are deleted immediately.

Patient booking data (name, email, appointment records) is retained for the duration of the practice's subscription and deleted upon request. Practices can request data deletion by contacting dovi@kfmed.co.za.

Data Use

Google Calendar data is used solely to check availability and manage booking appointments. We do not use Google user data for advertising, lending, or any purpose other than providing the booking service.

Data Sharing

We do not sell, transfer, or share Google user data with any third parties. Google user data is never used to develop, improve, or train AI or machine learning models.

Limited Use Compliance

Our use of Google Calendar data adheres to the Google API Services User Data Policy, including the Limited Use requirements.
